Provision of consultancy services

In order to be able to offer our services as a consultancy firm, we need to be able to process important personal data. Our Privacy Policy is intended to help you understand what kind of data we collect, why we collect them and the purpose for which we use them. This is important information so we hope that you will take time to read it.

Our processing of your personal data

We process personal data which you or another party (your workplace) have issued to us as part of a consultancy agreement.

We process these personal data in order to be able to meet our contractual obligations to you as party to the representation agreement.

Without these data we would not be able to represent you.

These personal data usually include:

Name, company address, telephone, e-mail

Deadlines for erasure/storage

We strive to erase (or anonymise) personal data as soon as they are no longer relevant. But we always keep them for a minimum of five (5) years to meet our obligations under the Danish Bookkeeping Act.

Your rights under the general data protection regulation

As part of our processing of your personal data, you have a number of rights:

The right to access information about how we process your personal data (duty of notification).
The right to access your personal data.
The right to have incorrect personal data rectified.
The right to have incorrect personal data erased.
The right to object to your personal data being used for direct marketing purposes.
The right to object to automated individual decision-making, including profiling.
The right to transfer your personal data (data portability).

All the above rights are handled manually when you contact our personal data controller.

We are entitled to reject requests that are unreasonably repeated, require a disproportionate amount of technical intervention (e.g. developing a new system or changing existing practice significantly), affect the protection of the personal data of others or something that would be extremely impractical (e.g. request for data that exist as backups).

If we are able to rectify data, we will, of course, perform this free of charge unless such rectification requires a disproportionate amount of effort. We strive to maintain our services in a way that protects data from unintended or damaging destruction. When we erase your personal data from our services, we may not always be able to delete associated copies from our archive servers at once and we may not be able to remove the data from our backup systems.

Data that we disclose

We do not disclose data to companies, organisations or individuals outside Intenz P/S. Exceptions include the following:

With your consent
We disclose personal data to companies, organisations and individuals outside Intenz P/S if we have your consent to do so. We require active opting in to disclosure of all personal data.

For external data processing
We disclose personal data to our partners and other trusted companies or individuals who process them on our behalf. Their processing is based on our instructions and complies with our Privacy Policy and other applicable confidentiality and security measures, e.g. our data processing agreement.

We may share data that do not identify individuals with the public and our partners.

Information security

We work hard to protect Intenz P/S and our partners against unauthorised access, modification, publication and destruction of the personal data we store.

We have implemented the following general organisational and technical measures at Intenz P/S:

Antivirus on all IT systems processing personal data.
Back up of all IT systems processing personal data.
Restricted access to personal data so that access is only granted where necessary.
Data processing agreements with our suppliers who process personal data on our behalf.
Confidentiality agreements with staff who need to process personal data.
Guidance in the secure processing of personal data and information assets for staff with access to information systems.
Performance of the above risk assessment and documentation of all systems processing personal data to ensure an informed basis for our personal data processing security levels.

Compliance and cooperation with regulatory authorities

We continuously review our own Privacy Policy to ensure that we comply with it. We also comply with a number of self-regulatory security policies. When we receive formal written complaints, we contact the sender to follow up on the complaint. We work with the applicable legislative authorities, e.g. the Danish Data Protection Agency, to address complaints about the transfer of personal data which we cannot solve directly with our contractual parties.

Amendments

Our Privacy Policy may change from time to time. We do not restrict your rights under this Privacy Policy without your explicit consent.

Introduction

Personal data

General information

Personal data mean all data that in some way can be attributed to you. When you use our website, we collect and process a range of such data. This takes place on standard access to content, e.g. if you subscribe to our newsletter, participate in competitions or surveys, register as a user or subscriber, otherwise use our services or make a purchase on the website. If you participate in an Intenz inspirational seminar, event or other Intenz function, your image may be used in general mood images and video which we use in our marketing.

We generally collect and process the following types of data: A unique ID and technical data about your computer, tablet or mobile telephone, your IP number, geographical location and the pages on which you click (interests). To the extent that you yourself give your explicit consent for this and enter the data yourself, we also process: Name, telephone number, e-mail, address and payment information. This will usually form part of the creation of a login or of a purchase.

Security

We have taken technical and organisational measures to prevent your data being accidentally or illegally erased, published, lost, reduced or disclosed to unauthorised parties, misused or otherwise processed in contravention of legislation.

Purpose

The data are used to identify you as a user and show you advertisements that will be most likely to be relevant to you, to register your purchases and payments and to enable us to supply the services you have requested, e.g. sending you a newsletter. We further use the data to optimise our services and content.

Storage period

Data are stored for the time period permitted pursuant to legislation and we delete them when they are no longer required. This period depends on the nature of the data and the reason for storing the data. For this reason, it is not possible to state a general timeframe for the date of deletion of data.

Disclosure of information

Data about your use of the website, the advertisements you receive and may click on, geographical location, sex and age range etc. are disclosed to third parties to the extent that these data are known. You can see the third parties involved under the section on ‘Cookies’ above. The data are used to target advertising.

We also use a number of third parties for the storage and processing of these data. These third parties solely process data on our behalf and are not permitted to use them for their own purposes.

Disclosure of personal data such as name and e-mail etc. will only take place if you give your consent. We only use data processors in the EU or in countries that can adequately protect your data.

Access and complaints

You are entitled to be informed of the personal data we process about you. You are also entitled at any time to object to our use of your data. You are entitled to withdraw your consent to your data being processed. If the data being processed about you are incorrect, you are entitled to have them rectified or erased.
